Project Details:
Procurement and Payment Services (PPS) is implementing the America to Go eProcurement solution.
- America to Go (ATG) is UT’s new contracted supplier for online catering that provides an end-to-end solution including reservation management, client support, data management, analytical review, and related service.
- ATG will provide the means to order, reserve, and secure food and beverages and related items (e.g., rentals, dining supplies, event labor, decorative items, etc.) through a customized eProcurement platform.
- Catering will be provided by various restaurants, caterers and related service providers as agreed upon by the University. Restaurants/caterers are required to have all food permits, TABC permits & requirements, meet cleanliness requirement on campus, secure background checks, required insurance, TFER compliance, and meet our sustainability standards.
- ATG will provide the following deliverables: start-up, site implementation, annual maintenance, reporting, vendor list/recommendations, invoicing, account manager, and annual business reviews.
Project Objectives:
Phase one of the project is to build the system design. Phase two of the project is to onboard UT requested caterers & restaurants. Phase three of the project is to provide communication and training to campus and restaurants/caterers.
Go Live Timeline:
- Go-Live – September
- Training Virtual and On-campus – September/October
- Tastings – September/October
Project Working Group / Steering Committee:
PPS is working with a group of event planners and college, school, and unit (CSU) partners as subject matter experts to provide guidance into site design and restaurant recommendations, including sustainability and Historically Underutilized Business (HUB) input.
Scope of Work:
The scope of work for the project is to enhance the catering process by offering campus a contracted solution of caterers and restaurants that can provide prepared food options to campus in an easy-to-use platform. ATG provides vendor onboarding of UT requirements, pre-negotiated pricing, pre-negotiated contract terms, access to HUB vendors, easy payments, and provides support for UT sustainability initiatives.
The solution must also provide adherence to UT term and conditions, policies, such as per person max, controlled gratuity, service fees, sales tax exemption, increase competition of compliant vendors, avoid late payment fees, easy reporting for colleges, schools, and units.
On the service side, UT Austin was looking to contract with a vendor that would provide account management, a dedicated account manager, 24/7 customer service, quality standard monitoring, safety standard monitoring, sustainability innovation, healthy dining options, and metrics.
